Position Overview

The Customer Service Representative (CSR) supports the outside sales and operations teams by managing customer communications, sourcing materials for quotes, and coordinating orders from initial inquiry through delivery. This role requires strong communication, organization, and problem-solving skills to ensure a seamless experience for both customers and vendors.

Key Responsibilities

• Support outside sales and operations by preparing and sending customer quotes.  Source materials from multiple manufacturers to ensure competitive pricing and lead times.
• Enter and track purchase orders, sales orders, and quote activity in shared tracking systems.
• Communicate order updates, shipping confirmations, and delivery timelines to customers.
• Coordinate with vendors and freight carriers to confirm lead times, shipment details, and delivery requirements.
• Resolve billing discrepancies, freight issues, and return material authorizations (RMAs) in coordination with accounting and vendors.
• Maintain accurate and organized documentation for quotes, orders, and invoices.  Assist with monitoring open orders to ensure timely completion and escalate any potential delays.
• Contribute to a positive, team-oriented environment that promotes collaboration and accountability.

Qualifications

• 2+ years of experience in customer service, inside sales, or order processing (distribution or construction supply preferred).
• Strong communication and organizational skills with an emphasis on accuracy and follow-through.
• Proficiency with Microsoft Excel, Outlook, and shared tracking spreadsheets.
• Ability to manage multiple priorities in a fast-paced environment.
• Knowledge of telecom, utility, or electrical materials is a plus.
